At Optimal Well MD, we reserve appointment times specifically for each patient. To ensure timely access to care for all patients, we require advance notice for any appointment changes.

24-HOUR NOTICE REQUIREMENT

Patients must provide at least 24 hours’ notice to cancel or reschedule an appointment.

LATE CANCELLATION / NO-SHOW FEE

Appointments canceled with less than 24 hours’ notice, or missed without prior notice, will be subject to a $35 cancellation or no-show fee. This fee helps offset the time that was reserved for your visit.

HOW TO CANCEL OR RESCHEDULE

Notice may be provided by:

  • Calling the clinic during business hours
  • Leaving a voicemail outside of business hours
  • Messaging through the secure patient portal (if applicable)

The timestamp of the call or voicemail will be used to determine whether adequate notice was given.

EXCEPTIONS

We understand that emergencies and sudden illness can occur. Fees may be waived at the clinic’s discretion in cases of medical emergencies, severe illness, or hazardous weather conditions.

PAYMENT RESPONSIBILITY

Cancellation and no-show fees are the patient’s responsibility and may be:

  • Charged to the card on file, or
  • Added to the patient’s account balance

Outstanding balances may need to be resolved before scheduling future appointments.

INSURANCE

Cancellation and no-show fees are not billable to insurance and are the sole responsibility of the patient.
